Primary responsibility includes the coordination completion and tracking of data and statistical information for these programs as well as being responsible for coordination prioritization and performing office operations. The incumbent plays a critical role in the overall function of the Social Work Services programs. He/she will address new needs and work to find solutions to a variety of issues. Serves as point of contact for other program staff as well as for other administrative clinical and managerial staff and departments throughout CSS and VA Pittsburgh Healthcare System (VAPHS). Major duties include but are not limited to: Performs all clerical support duties required by the SWS programs. Coordinates the prioritization of work with the programs to assure that work is completed in a timely manner. Answers telephone calls received by the program departments and provides required information and/or assistance or makes referral to the appropriate staff members for assistance. Assists in scheduling and management of the Social Work Program Managers Outlook Calendar with scheduling meetings with staff and other VAPHS Programs. Prepares and distributes copies of documents and materials used by the SWS programs including memorandums tracking supplies ordering equipment procedure and protocol handouts teaching documents. Responsible for the ordering distributing and tracking the usage of Pittsburgh Port Authority Bus Tickets. Monitors and maintains regular tracking reports on utilization for auditing and reports any concerns to the Social Work Program Manager. Educates staff in the process of utilizing this resource. Plays a critical role in assisting the program staff in the performance of activities related to the program including the communication with community partners tracking and monitoring: census data service usage quality improvement processes. Identifies issues and tracks trends related to program effectiveness and role implementation particularly as it relates to device usage. Organizes maintains and revises relevant materials and documents (binder PowerPoint presentations etc.) for surveys (Commission on Accreditation of Rehabilitation Facilities (CARF) The Joint Commission (TJC) etc.) and other purposes. Prepares correspondence for the signature of manager/supervisors and other staff and maintains records and files for them. Reviews outgoing correspondence and reports prepared by the staff under the auspices of the supervisor as well as miscellaneous correspondence which is routed through the office before being forward to Associate Director Patient Care Services Deputy Director etc. ensuring proper format grammar accuracy and completeness. Takes minutes at various meetings and transcribes minutes in prescribed format for review/approval by meeting facilitator and distributes to appropriate staff. Ensures correct punctuation spelling grammar and formatting are used and maintains confidentiality. Prepares materials for publication such as pamphlets certificates forms graphs technical manuals or comparable items. Arranges lodging for Liver and Kidney Transplant program. Tracks lodgers using Excel spreadsheet. Reconciles Transplant credit card bills twice a month from hotel enters lodging data into TRACER twice a month for lodging reimbursement.
